Edit, Create, Delete Dataset Versions

Dataset features can be accessed by selection of Dataset Versions from the Navigation Menu.

Dataset versions should be managed when a new planning round is to be initiated

Care must be taken to ensure that Planning, Master and Archive versions are carefully maintained and that the correct version is identified as Active.

To Edit an Existing Dataset Version

1. Click on the required version from the list at the top of the screen.

   The dataset details will be displayed at the bottom of the screen.

2. Modify the details that identify this Dataset Version.
3. Click the save button at the bottom of the screen

   version name	A name to identify this Dataset Version.
   description	A description of this Dataset Version.

To Create a New Planning Dataset Version

Planning versions can be created from an existing Planning, Master or Archive version.

1. Click on the required version from the Dataset list.

   Dataset details will be displayed at the bottom of the screen.

   Only functionality appropriate to this version type will be available.

2. Click on the create planning dataset button on the bottom of the screen.

   A message will be displayed.

3. Modify the version name and description to identify the new Planning version.
4. Click on the create planning dataset button on the bottom of the screen.

   The new dataset will be created and will be added to the list at the top of the screen.

   

   The new Planning version will be available for modification.

To Create a New Master Dataset Version

• A Master version can be created from a Planning version only.
• Only one Master version can exist.
• Only Projects with a status identified in Application Client Settings will be copied to the new version.
• Master versions are locked, and have read only access.
• Before a new Master version can be created, the existing Master must be moved into Archive.

1. Click on the required version from the Dataset list

   Dataset details will be displayed at the bottom of the screen.

   Only functionality appropriate to this version type will be available.

2. Click on the create master dataset button on the bottom of the screen

   A message will be displayed.

3. Modify the version name and description to identify the new Master version
4. Click on the create master dataset button on the bottom of the screen

   The new dataset will be created and will be added to the list at the top of the screen.

   

   The new Master version will be available for viewing purposes only.

To Create a New Archive Dataset Version

• An Archive version can be created from a Master version only
• An Archive version must be created from the existing Master version, before a new Master version can be created
• Archive versions are locked, and have read only access

1. Click on the Master version from the Dataset list

   Dataset details will be displayed at the bottom of the screen.

   Only functionality appropriate to this version type will be available.

2. Click on the create archive dataset button on the bottom of the screen

   A message will be displayed.

3. Modify the version name and description to identify the new Archive version
4. Click on the archive dataset button on the bottom of the screen

   The new read only, Archive dataset will be created and will be added to the list at the top of the screen.

   The originating Master version will no longer exist.

To Lock a Dataset Version

1. Click on the required version from the Dataset list

   Dataset details will be displayed at the bottom of the screen.

   Only functionality appropriate to this version type will be available.

2. Click on the lock button on the bottom of the screen
3. Modify the version name and description as required
4. Click on the lock dataset button to complete the locking process

This date that the dataset was locked will appear in the list at the top of the screen.

Locked planning datasets can be unlocked.The lock button will be replaced by an unlock button if a locked dataset is selected from the list.

To Delete a Dataset Version

Only Planning and Archive version are available for deletion.

1. Click on the required version from the Dataset list

   Dataset details will be displayed at the bottom of the screen.

   Only functionality appropriate to this version type will be available.

2. Click on the delete button on the bottom of the screen
3. Confirm deletion by selection of OK from the dialogue box

   This Dataset Version will no longer display in the list at the top of the screen.
